Guest Email Template
Simplify Your Process
Make online recording easy on yourself by creating an email template that you can send to your guests. There’s no need to reinvent the wheel every time you set up a new recording session. We’ve provided a template below that you can edit for your own use and send to guests to set them up for a successful recording. The template includes a place to add the link to your online recording session, useful information on where and how to record, and a spot where you can add your contact information for the day of.
Hello GUEST,
We’re so excited to have you on PODCAST to talk about SUBJECT! We’ll be recording remotely using RECORDER. Please join us on DATE at TIME by clicking this link: WWW.LINKGOESHERE.COM
Before we record, please do the following:
- LINK TO ANYTHING YOUR GUEST NEEDS TO DOWNLOAD
- Check your tech!
- It’s important that you wear headphones during the recording. Wired is preferred because wireless headphones can cause a delay.
- Do you have a wired microphone other than your computer mic? Please use it during the recording. USB mics, headsets, and earbud/mic combos all work well.
- Be sure your computer is fully charged or plugged in.
- If you’re using wireless internet, please sit as close to your router as possible.
- Find your recording space.
- Find a place that is quiet and secluded.
- The sound is better in rooms with soft, uneven surfaces like carpet, rugs, soft chairs, curtains, etc. And it is worse in rooms with lots of flat surfaces like windows, cement floors, blank walls, etc.
- During recording, please turn off anything that can be heard in the background. For example, fans, air conditioners, clocks, phones, etc.
We’ll test everything before we start on the record day. In the meantime, please reach out with any questions you might have.
If you need to reach me the day of, my phone number is ###-###-####.
